How to buy industrial electrical materials: an RFQ checklist for contractors and maintenance teams

A clear enquiry gets an accurate price the first time. This guide shows how contractors, plant engineers and maintenance teams can prepare an RFQ or BOQ for electrical, electronic and industrial materials, and what to expect back from us.

Start with one line per item

Most delays in a quotation come from lines that can be read two ways. A good RFQ lists one item per line with five things: description, maker and part number (if known), quantity and unit, key ratings, and the standard or specification clause. "Breaker 63 A" can mean twenty different products; "MCCB 3P 63 A 36 kA thermal-magnetic, IEC 60947-2" means one.

Excel, a PDF BOQ, a marked-up drawing schedule or photos of nameplates all work. Keep the BOQ item numbers so our offer can be checked line by line against your tender.

What to specify for each item family

Item familyWhat decides the price and the match
Breakers (MCB, MCCB, ACB, RCD)Rated current, poles, breaking capacity (kA), curve or trip unit, mounting, accessories (shunt trip, auxiliary contacts)
CablesCores × size (mm²), copper or aluminium, PVC or XLPE, armour, voltage grade, standard, drum lengths
Glands, lugs, terminationsCable type and outer diameter, armour, thread size, indoor/outdoor or Ex; lug size and stud hole
Motor controlMotor kW and voltage, AC-3 current, coil voltage, overload range, auxiliary contacts
LightingLumens and watts, IP rating, mounting height, beam angle, colour temperature, voltage
Enclosures and panelsDimensions, material, IP and IK rating, mounting plate, door and lock type
Tools, test and PPESize, standard and class (for example IEC 60900, IEC 61010 CAT rating, IEC 60903 glove class)

Specified make or equivalent?

If the project specification names a maker, write it, and say whether "or approved equivalent" is allowed. An equivalent must match the ratings, dimensions, standard and certificates that the specification asks for, and on consultant-supervised projects it is only accepted after the submittal is approved.

On our quotation, alternatives are always marked as alternatives, with the maker, the part number and the data sheet, so your engineer can compare them before the order. For maintenance spares, matching the existing part (same frame size, same mounting, same accessories) usually matters more than price.

Documents that come with the offer

  • Data sheets and catalogue pages for each item, for the material submittal.
  • Compliance statement against the specification clauses, where the tender asks for one.
  • Test certificates or type test reports where the specification calls for them (common for cables, switchgear and Ex equipment).
  • Certificate of origin when the contract or the client requires it.
  • SABER conformity certificates for products that fall under a SASO technical regulation, where applicable.

Tell us which of these you need at the enquiry stage; some documents come from the maker with the shipment and need time to arrange.

Lead times and urgent items

Lead time depends on the item: common breakers, contactors, glands, lugs and tools may be ready for quick supply (the quote confirms availability per line), while large cable drums, ACBs, Ex equipment and special ratings may be ordered from the maker. We state availability and lead time on each line of the quotation, not as one date for the whole list.

For a plant shutdown or a breakdown, mark the urgent lines. We can split the order so the critical items are delivered first and the rest follow.

Delivery across Saudi Arabia

We deliver from Jeddah to sites and plants across the Kingdom, including Makkah, Madinah, Yanbu, Rabigh, Riyadh and the Eastern Province. With the order, send the site location, a contact name and number, receiving hours, and any gate pass or safety induction the site needs. For cable drums and heavy panels, tell us whether a forklift or crane is available for offloading.

What to send us for a quotation

Your item list or BOQ with quantities, the required makers or "or equivalent" rule, the documents you need, the delivery location and the required date. If you are replacing a failed part, a clear photo of the nameplate and of the installed item is often enough. Your quotation arrives within 24 hours, with each line priced and its availability stated.

Common questions

What does "or approved equivalent" mean in a BOQ?

It means a product from another maker can be offered if it meets the same ratings, standard and certificates, and the consultant or client approves the submittal before it is installed.

Can I send a nameplate photo instead of a part number?

Yes. A sharp photo of the nameplate and of the installed item usually identifies the part. We then quote the same model or a clearly marked equivalent.

How fast will I receive the quotation?

Within 24 hours for a normal list. Each line shows the price, the offered maker and part number, and the availability or lead time.

Need these items? Send your list or a nameplate photo; your quotation arrives within 24 hours.

This guide is general information. Final selection must follow the project design, the applicable standards and the maker's data.
